Terms & Conditions

This document lays out, for our mutual interest, the foundations determining the contractual relationship which results from your registration for an Easy Day programme or service:

1. Contract
Your contract for the respective programme or service is with Easy Day Spirit SL, (hereinafter referred to as “ED” or “we” or “us”), registered in Spain, NIF B70636394.

2. Confirmation & Payment
Your booking will be considered confirmed once we receive the signed contract and the non-refundable booking fee (typically 25% of the total amount) via bank transfer. For individual bookings, such as camping or glamping, a formal contract is not necessary. To confirm participation with ED, each individual is required to register online at: https://www.easy-day.com/registration/.

3. Terms of Payment
Prices depend on the respective programme or service and are stated in the programme description or associated contract. Any variations must be agreed upon in writing. All services, including accommodation, educational programmes, or other services, must be paid in full before they are provided. Only those who have paid the full price are entitled to receive our services.

4. Participant Information and Criteria
For each participant covered by this contract, you must notify ED of the following information before the services are provided:

• Full name
• Email address
• Date of birth
• Identification Number as written on passport or ID card
• Details of any health conditions, medications, or allergies
• Name and contact details of next of kin
• Special dietary requirements

This information must be supplied using our online “Programme Registration & Medical Declaration form.” Participants must be eighteen (18) years of age or over to participate unless signed consent is provided by a parent or legal guardian. https://www.easy-day.com/registration/.

5. Hosting and Accommodation Services
In addition to educational programmes, workshops, events, and retreats, ED offers accommodation at our physical centre, including camping facilities and catering services via our on-site café. The following conditions apply:

• Guests must adhere to the centre’s regulations regarding noise, cleanliness, and respect for other visitors.
• Check-in and check-out times will be specified in the booking confirmation.
• Guests must inform ED of any dietary requirements at least 7 days prior to arrival.
• Any damages caused to ED property by guests will be charged accordingly.
• ED is not liable for loss, theft, or damage to personal belongings.

6. Rules when staying at the Easy Day Center as a day-visitor or when Camping and Glamping
To ensure a safe, comfortable, and respectful environment for all guests, the following rules apply while at the Easy Day Centre:

• Respect the space, fellow guests, and the valley. Please be mindful of nature and other visitors.
• Fire safety is essential. No candles are allowed in the camping area, and cigarettes must be properly extinguished.
• Be cautious when moving around the property. The terrain is uneven—use a light at night for safety.
• Water Safety – Risk of Drowning. Our property is adjacent to a river. Guests, especially those with children, must exercise extreme caution near the water. Children must be supervised at all times. ED is not •          responsible for accidents related to water activities or unsupervised access to the river.
• Drinking Water. At the designated tap, or the one provided. Do not drink the water at the toilet area.
• Quiet hours begin at 22:00. In the camping area and around the house, noise should be kept to a minimum. Conversationsand music may continue quietly in the patio area of the house. Changes to that rule must be clearly communicated and agreed with Easy Day staff
• Keep garden gates closed. This protects the chickens from dogs and other potential disturbances.
• No pets allowed on the premises.
• Cooking is permitted only in designated areas. Cooking is allowed in the camping area but not in the café space. However, guests may eat at the café tables.
• To support animal welfare, cooking or consuming meat other than fish on the premises is not permitted.
• Dispose of waste responsibly. Use designated trash bins and the shared compost system.
• Use dry toilets properly. Please follow the instructions provided and leave them clean for others.

7. Changes by You
If you wish to make changes to your booking, we will do our best to accommodate your request. However, all changes are subject to availability and cannot be guaranteed.
Requests for changes must be made in writing and will only be considered valid once confirmed by us in writing.

• Changes requested more than 30 days before the start date may be accommodated with minimal fees, depending on availability and logistical considerations.
• Changes requested 15–30 days before the start date may incur additional costs, including administrative fees or price adjustments based on revised participant numbers, accommodation needs, or scheduling impacts.
• Changes requested less than 15 days before the start date may not be possible, and cancellation terms may apply instead.

If the requested change results in a lower-cost service, no refunds will be issued for the difference unless agreed upon in writing.

7.1 Transfers of Bookings
You may transfer your booking to another person if they meet the necessary requirements for the program. However, the request must be submitted in writing at least 7 days before the start date, and additional administrative fees may apply.
For group bookings, changes in participant numbers may affect the overall cost and must be communicated as early as possible.

7.2 Upgrades or Extensions
If you wish to extend your stay, upgrade your accommodation, or add services, these requests are subject to availability and must be paid in full before the additional services are provided.

8. Cancellation Policy

8.1 Outdoor Education, Guiding, and Group Facilitation
For group bookings (8 or more people) that include outdoor education programs, guiding, or group facilitation:
More than 30 days before the start date: Full refund minus the 25% non-refundable booking fee.
15-30 days before the start date: 50% refund or credit for a future booking (with supporting documentation).
Less than 15 days before the start date: No refund, no credit.

8.2 Group Hosting (Accommodation & Meals)
For group bookings (8 or more people) that include accommodation and meals at our center:
More than 30 days before the start date: Full refund minus the 25% non-refundable booking fee.
7-29 days before the start date: 50% refund.
Less than 7 days before the start date: No refund, no credit.

8.3 Individual Bookings (Camping, Glamping, Accommodation & Meals)
More than 30 days before the start date: Full refund minus the 25% non-refundable booking fee.
7-29 days before the start date: 50% refund.
Less than 7 days before the start date: No refund, no credit.
Refunds, when applicable, will be processed within 30 days from the original booking date. 
We strongly recommend that all participants and groups obtain travel or cancellation insurance to cover unforeseen circumstances.



9. Changes by Us
While we strive to provide the services as booked, unforeseen circumstances may require us to make changes. These circumstances include, but are not limited to:

• Extreme weather conditions (e.g., storms, floods, heatwaves, or other hazardous conditions that make activities unsafe).
• Regulatory changes (e.g., new restrictions imposed by government authorities, nature park regulations, or land access limitations).
• Health and safety concerns (e.g., unexpected illness or injury of a key staff member, local health alerts, or pandemic-related restrictions).
• Operational challenges (e.g., equipment failure, supplier disruptions, or last-minute cancellations from third-party service providers).
• Minimum participant requirements (e.g., a scheduled group activity not reaching the required number of participants).
• Instructor or guide unavailability (e.g., if a key instructor or guide is unable to lead the program due to illness, injury, or other unforeseen circumstances).
• Unforeseen environmental issues (e.g., landslides, river flooding, or other sudden changes to the landscape that prevent access to certain areas).
• Technical or infrastructure failures (e.g., power outages, water supply issues, or internet service failures that may affect accommodation or facilities).

If a change occurs, we will:

• Communicate as early as possible and explain the reason for the change.
• Provide alternative options that maintain the spirit of the original booking.
• Offer a partial refund, where applicable, if no suitable alternative can be arranged.
• For safety-related changes, no refunds will be issued (see Force Majeure & Safety-Based Changes). Safety always takes precedence over financial considerations.

10. Force Majeure & Safety-Based Changes
ED is not liable for service disruptions due to:

• Extreme weather conditions
• Nature park regulations
• Natural disasters
• Strikes or industrial disputes
• Government actions
• Pandemics or health emergencies
• War or civil unrest

For safety-related cancellations due to extreme weather or natural conditions, refunds will not be issued.
Safety is our top priority, and we will not compromise necessary safety adjustments due to financial considerations.
Instead, we will attempt to reschedule or provide alternative options where possible.

11. Risk and Assumption of Responsibility

11.1 Acknowledgment of Risk on Outdoor Activities and around the Easy Day Center at Pont d’en Valenti
By participating in ED programs, you acknowledge and accept the inherent risks associated with outdoor adventure education, adventure sports, and activities conducted in remote, mountainous, or environmentally dynamic locations. These risks include but are not limited to:

• Unpredictable weather conditions
• Challenging and uneven terrain
• Physical exertion beyond routine daily activity
• Potential encounters with wildlife or natural hazards
• Limited access to immediate medical care
• Equipment failure or misuse

ED provides guidance, training, and risk mitigation, but we cannot eliminate all hazards.
By registering, you voluntarily assume these risks and agree to take personal responsibility for your safety and decisions during activities.

11.2 Participant Responsibilities

Participants must:
• Prepare adequately by reviewing provided materials
• Ensure they meet the required fitness level
• Bring appropriate personal equipment, as communicated beforehand by ED
• Follow all safety instructions and behave responsibly

11.3 Authority & Right to Exclude Participants
ED reserves the right to refuse participation or remove individuals if their health, fitness, behaviour, or if personal equipment necessary is deemed unsafe.
No refunds or compensation will be issued in such cases.

11.4 Limitation of Liability
ED is not liable for injury, loss, or damage unless caused by our proven negligence.

12. Dispute Resolution
Before pursuing any legal action, the client agrees to attempt resolution through mediation or arbitration in Spain. If a resolution cannot be reached through these means, the matter will be subject to the jurisdiction of Spanish courts.

13. Complaints
If you have a complaint, please raise it with a staff member immediately. Formal complaints must be submitted in writing within 30 days of completing the program.

14. Insurance
All participants must have valid insurance covering medical emergencies, evacuation, personal accident, and cancellation.
ED provides the following insurance coverage in addition to your personal insurance coverage:

14.1 Accident Insurance (AXA Seguros – Policy No. 81220419)
This insurance covers participants during activities for:

• Death due to accident: €3,005
• Permanent disability: €6,010
• Medical and hospital expenses: Limited to €1,500 per incident
• Maximum coverage per event: €312,520
• Scope: Coverage applies only during the practice of the insured activity and does not cover pre-existing conditions, general illness, or accidents occurring outside official activities.

14.2 Public Liability Insurance (Allianz – Policy No. 040867011 00421)
Easy Day Spirit SL holds public liability insurance that covers third-party damages, including:

• General liability coverage: Up to €1,500,000 per event
• Employer’s liability: Up to €150,000 per victim
• Property damages, fire, and water-related incidents within insured premises
• Legal defense & claims assistance included.

14.3 Professional Liability Insurance (Lloyd’s – Policy No. LLO2021000382)
Coverage for professional negligence related to activities such as camping, educational programs, cultural events, and adventure sports (e.g., hiking, climbing, canyoning).

• General professional liability: €1,500,000 per event
• Employer liability: €1,500,000
• Legal defense and reputational damage coverage included
• Scope: Worldwide coverage except USA and Canada.

14.4 Important Notes & Participant Responsibilities
The insurance policies cover incidents occurring only during activities organized by Easy Day Spirit SL and within designated areas.
Personal belongings are not covered. Participants should ensure they have travel insurance to protect against theft, loss, or additional medical costs.
Participation in outdoor activities carries inherent risks. By registering, participants acknowledge and accept these risks.

Insurance Information Disclaimer:
We aim to keep this insurance information updated, but policies and coverage details may change over time. We recommend checking with us or directly with the insurer for the most up-to-date coverage information.

15. Use of Photos and Videos
ED may take photos and videos for promotional use. Participants can opt out in writing before the program. Requests for removal of identifiable images can be made in accordance with GDPR and Spanish data protection laws.

16. Website Accuracy
We strive for accuracy but are not liable for errors or outdated information. In case of discrepancies, signed contracts take precedence.

17. Data Protection
ED complies with GDPR and Spanish data protection laws. Personal data is used only for operational purposes and not shared unless required by law or to provide subcontractors with the information necessary to do their tasks. Participants may request data access, rectification, or deletion.

18. Newsletter & Easy Day Community Membership
By signing up for an ED programme, participants become part of the Easy Day family and are automatically enrolled in both our newsletter and the Pont de Valenti Association, a growing community of participants and supporters. The Pont de Valenti Association was founded to give a stronger voice to our community and provide exclusive benefits to its members.
As part of the Association, members receive:

• Special access and discounts on ED events, programmes, and services.
• A platform to connect and engage with others who share a passion for outdoor education and nature.
• The opportunity to support and amplify our collective voice in addressing restrictive local policies that limit access to the nature park and educational activities.

Participants may opt out of the newsletter or association membership at any time by following the instructions in our communications or by contacting us directly.

18. Governing Law
This contract is governed by Spanish law and falls under the jurisdiction of Spanish courts.
